WHISTLEBLOWING REPORTING CHANNEL

This whistleblower hotline can be used to report legal misconduct and irregularities. Reports of violations of legal regulations are given high priority and enable company management to respond quickly. This is the only way the company can correct irregularities and prevent them from occurring in the future.

To facilitate the reporting of violations and the submission of tips, the company has established a whistleblower hotline. This hotline offers employees, suppliers, and other partners or individuals associated with the company the opportunity to report violations.

Incoming reports are thoroughly investigated and handled appropriately. We guarantee the greatest possible protection and confidentiality under the law for whistleblowers who act in good faith and seek to promote proper conduct and help shed light on misconduct.

The presumption of innocence always applies to all individuals involved until the violation has been proven.

Why should I file a report?

Violations of laws or codes of conduct harm the company and all employees. By reporting such issues, you enable the company to respond promptly and effectively.

Integrity, respect, and responsibility are core values of our company that impact not only our long-term economic success but also the well-being of every individual on the team.

By using the whistleblower reporting channel, companies comply with the legal requirement to protect whistleblowers and thereby create a confidential and secure environment that provides the whistleblower with control and transparency. The whistleblower is informed via the reporting channel about the measures taken and can engage in dialogue with the company.

Frequently Asked Questions

Who can file a report?

All employees of a company can report violations, including interns and freelancers. In addition, external whistleblowers—such as suppliers, business partners, or job applicants—can also report violations. Regardless of the whistleblower’s position, all these groups are afforded the confidentiality and protection guaranteed by law.

How confidential is the report, really?
We treat your identity and the reported violation with the utmost confidentiality. The information is made available within the company only to a small group of individuals for the purpose of investigation.

Since the information you provide to us may lead to investigations and (potentially criminal) consequences for those involved, you must be convinced that the reported information is true. Intentionally providing false facts or making false allegations may result in criminal consequences for the whistleblower and may be reported to the authorities. In this case, you are not protected as a whistleblower. However, you will not face any consequences if you provide your information to the best of your knowledge and belief and in good faith, even if the information later turns out to be false. Your motives for making the report are irrelevant, as long as you believe the information to be truthful.

Please note that, as a whistleblower, you may not disclose any information if you yourself are subject to a legally mandated professional duty of confidentiality, such as a doctor or tax advisor.

Furthermore, those who learn of the report may, under certain circumstances, be legally obligated to disclose the reported information in full to government authorities. This may be the case, for example, if there are legal requirements to involve authorities in matters covered by a report. Similarly, the company may be compelled by investigative authorities (e.g., during a search) or a court to disclose information and the identity of the whistleblower.

How do I report a violation?

To ensure that a report can be properly reviewed and processed, it is important that you provide as much specific information as possible and describe the violation as precisely as possible.

To ensure a prompt investigation, it would be helpful if you were available to answer any follow-up questions.

You should also keep in mind that the report will be reviewed by individuals who may not have expertise in your specific field. Therefore, please make every effort to describe the facts as clearly and objectively as possible.

How does the reporting process work?

  1. Please report the violation via email to hinweisgeber@conleos.com, providing as much detail as possible and including any important information.
  2. If you provide your name and contact information, you will receive a response regarding the follow-up measures taken within three months at the latest.
  3. Please understand that processing may take some time, depending on the scope of the report. We take your concern seriously and intend to review it with due diligence. However, we may contact you with questions even before the review is complete.
  4. During the investigation, the necessary parties will be involved and asked to assist. Depending on the nature of the report, the company may be required to involve government authorities, such as public prosecutors’ offices or regulatory agencies.
  5. Once the investigation is complete, the whistleblower will be informed of how the investigation was concluded and what follow-up actions were taken.
